RESOLUTION NO. 2018-68

A RESOLUTION OF THE COUNCIL OF THE CITY OF KENAI, ALASKA, AWARDING A THREE-
YEAR CONTRACT FOR MICROSOFT SOFTWARE LICENSING.
WHEREAS, the City's current three year Enterprise Agreement with Microsoft expires on
December 31, 2018; and,
WHEREAS, the City solicited quotes from the three vendors listed on the State of Alaska software
value added reseller contract; and,
WHEREAS, on December 12, 2018 the following responses were received

CDW Government No Bid
En Pointe Technologies $26,189.06
SHI International $26,842.40; and,
WHEREAS, En Pointe Technologies provided the lowest price; and,
WHEREAS, award of the contract to En Pointe Technologies is in the best interest of the City.
NOW, THEREFORE, BE IT RESOLVED BY THE COUNCIL OF THE CITY OF KENAI, ALASKA:
Section 1. That the City Manager is authorized to execute a contract for Microsoft software
licensing to the lowest price vendor, En Pointe Technologies, for a period of three -years.
Section 2. That this resolution takes effect immediately upon passage.
PASSED BY THE COUNCIL OF THE CITY OF KENAI, ALASKA, this 19th day of December,
2018.

The purpose of this memo is to recommend approval of Resolution 2018-68. Resolution 2018-
68 will award a three-year contract for Microsoft software licensing to En Pointe Technologies.
Microsoft provides Enterprise Agreements (EA) to large organizations to streamline the licensing
process. Benefits of an EA include access to the latest versions of licensed software, 24/7 support,
and the ability to add seats without having to pay for them immediately. An annual "True -Up"
process is used to pay for any additions in a single transaction. Finally, an EA guarantees the
lowest possible pricing on any future purchases. The City's current EA will expire on December
31. 2018.
Due to increased costs associated with the datacenter replacement project, this is the first time
the contract has exceeded $25,000. Because the total amount is in excess of $25,000, an
exemption from formal bid process was requested.
After a discussion with a Microsoft Licensing specialist, the City decided to use the State of Alaska
software value added reseller contract. This contract lists three vendors that are eligible for
purchases. Quotes were solicited from each of the vendors, the responses are listed below:
