Resolution 2018- 68 will award a three-year contract for Microsoft software licensing to En Pointe Technologies. Microsoft provides Enterprise Agreements (EA) to large organizations to streamline the licensing process. Benefits of an EA include access to the latest versions of licensed software, 24/7 support, and the ability to add seats without having to pay for them immediately. An annual "True -Up" process is used to pay for any additions in a single transaction. Finally, an EA guarantees the lowest possible pricing on any future purchases. The City's current EA will expire on December 31. 2018. Due to increased costs associated with the datacenter replacement project, this is the first time the contract has exceeded $25,000. Because the total amount is in excess of $25,000, an exemption from formal bid process was requested. After a discussion with a Microsoft Licensing specialist, the City decided to use the State of Alaska software value added reseller contract. This contract lists three vendors that are eligible for purchases. Quotes were solicited from each of the vendors, the responses are listed below: Vendor Price CDW Government No Bid En Pointe Technologies $26,189.06 SHI International $26,842.40; and, En Pointe Technologies was the lowest cost respondent and execution of a contract for Microsoft software licensing with En Pointe Technologies is recommended.
