ROLL CALL Directors present: Braun, Nelson, Amess, Bookey, Fulton, Lofstedt, Legg, Cronkhite, Malston, Van Zee C. ADMENDMENT TO THE AGENDA President Braun added the annual review of Kathy Tarr, KCVB Executive Director to the agenda D. APPROVAL OF AGENDA M/S (Malston, Legg) to approve the agenda as amended. E. APPROVAL OF MINUTES M/S (Malston, Nelson) to approve the minutes of November 6, 2000. F. CORRESPONDENCE None. G. PERSONS TO BE HEARD None. H. ACTION I 1 kMS The Board of Directors nominating committee (Amess, Malston, Nelson) presented the elected candidates to the KCVB board: President Braun proposed the appointment of Bill Popp to the KCVB board. M/S (Malston, Nelson) to accept the elected candidates and the appointment of Bill Popp to the KCVB Board. 01/31,/2001 11:44 NO.563 P003 KCVB Board Meeting December 11, 2000 Page 2 L EXECUTIVE DIRECTOR'S REPORT Tarr updated the Board on the upcoming "2001: A Fish Odyssey." Tarr said 85 artists were confirmed as of December 11, 2000. The Grand Opening reception would be Friday, May 4, 2001 at 5:00 p.m. Advertisements for "2001: A Fish Odyssey" were placed in Bells' Travel Guide, The Milepost and the Soldotna Chamber of Commerce Visitors Guide. Other advertisements will be placed in the Alaska Magazine and the Peninsula Clarion. A promotional poster will be created for the exhibit. Bill Sabo of Anchorage, is producing the artwork that will be used for the poster and possibly other retail items such as pins, note cards and t- shirts. Sabos' art will be complete by the end of January, 2001, Tarr said the "2001: A Fish Odyssey" exhibition will include an educational curriculum for local elementary, middle and high school students. Debbie Harris, a local specialist in art education is a potential candidate to lead the educational aspect for this exhibit, in conjunction with KCVB's Manager of Exhibits Education, Ricky Gease. The City of Kenai has agreed to purchase a new LCD projector for the Kenai Visitors Cultural Center. The new projector will be installed in January, 2001. Tarr and Director Cronkhite attended the Kenai Peninsula Borough Economic Summit on December 8' Tarr was one of the facilitators of the roundtable discussions and Director Cronkhite made a presentation on the Kenai Municipal Airport. Tarr said that EDD's Economic Forum was very informative. Tarr presented a rough draft of the new home page for KCVB's website, www.visitkenai.com. Staff members are writing new content for the web site, which is being completely revamped. On February 28, 2001, KCVB and the Small Business Development Center will provide a free seminar, "Internet Marketing for your Tourism Business," for KCVB members and the public. The seminar, led by web designer David Edward -Smith of Design and Mark Gregory of the Small Business Development Center will provide information on internet marketing plans specifically for tourism related businesses such as Bed Breakfasts, Dude services, etc. Kenai Visitors Cultural Center will host a "Winter Open House" on January 27, 2001, to close the "Guys Love Tools" exhibit. Tarr said that KCVB needed a company credit card. Tan explained that with a company credit card, the Director's business related expenses could be charged to the company card, instead of using the Director's personal card for business expenses and that supplies for KCVB could be purchased much easier. The current process with checks only written once per week, delays ordering by at least one week and sometimes longer. 01/31/2001 11:44 NO.563 P004 KCVB Board Meeting December II, 2000 Page 3 EXECUTIVE DIRECTOR'S REPORT (continued) Director Vozar asked if a debit card would be a possibility. Tarr responded that she had checked into that possibility and that since KCVB was incorporated, a debit card was not available M/S (Cronkhite, Malston) to approve a company use credit card with a limit of $2,000 for Kenai Convention Visitors Bureau, with the balance to be paid in full at the end of each month. All Board members were in favor of obtaining a company use credit card. K. EXECUTIVE SESSION Tarr and Manuel left the board meeting so that KCVB board members could discuss Tarr's annual evaluation, which was completed by a committee before -hand. President Braun will review Tan's evaluation with her the next morning. Director Lofstedt complimented Tarr for her dedication to KCVB. Tarr has been the Executive Director at KCVB for four years_ L. REVIEW OF MONTHLY REPORTS The following reports were distributed to Board members: Financials (through November 30, 2000) Visitor Statistics Membership Education Exhibits (review of internship; cataloging project) Tarr review the 2001 budget with the Board members. Tan plans to discuss KCVB's contract with the City of Kenai for the City's FY02 budget. All board members were in favor of the proposed 2001 budget. President Braun added that the KCVB Board of Directors could change the budget at any time. Director Nelson suggested that KCVB should approach the City of Kenai for more help to produce more special projects at the Kenai Visitors Cultural Center such as the upcoming "2001: A Fish Odyssey." Director Malston suggested that the City of Kenai help fund the production of a new Kenai tourism promotional brochure. Tarr reported that KCVB had a certificate of deposit that will mature on December 28, 2000. Tarr asked if the CD should be rolled into another CD or used in some other manner. The CD represents the Bureau's savings and emergency cash reserves. REVIEW OF MONTHLY REPORTS (continued) M/S (Malston, Lofstedt) to roll over the CD into a new CD with the best interest. All board members were in favor. M. BOARD COMMENTS Director Amess spoke of a conversation he had with Dr. Pete Hansen of Kenai, who was planning a Hubble Family convention in Kenai for June 2001. Dr. Hansen would like to attend a KCVB Board meeting in the near future to discuss the upcoming Hubble Family convention in June 2001. All Board members were in favor of a meeting with Dr. Hansen. N.
